Leads
A lead is material somebody offered you by email or phone, and what you decided about it. The Email and Phone Assistants record a lead as soon as an offer is clear, without asking. Recording a lead commits you to nothing.
A lead is workflow only. It starts no chain and never reaches a passport. The quantity on it is what the sender said, not a weight. The weight comes from your own scale when the material arrives.
Find your leads
Section titled “Find your leads”Open Leads from the navigation. Leads waiting for a decision are under New, the rest under Decided. Each row shows the company (or Company not said), the material, the quantity (or Quantity not said), when it is ready, whether it came From a call or From an email, and what the assistant told them:
- Told them you generally take it
- Told them you generally do not
- Told them a person will look
A new lead also raises the task Lead to review, given to operations supervisors, and a notification.
Read a lead
Section titled “Read a lead”Click a lead to open it. The page shows:
- Material, How much (as they declared it, not weighed), Ready and Handover: We pick it up or They bring it.
- Offered by: the company, and whether it is one of your partners.
- Where it came from: the email, quoted as it arrived, or the call with its transcript.
- What the assistant told them: whether your organisation generally takes the material, answered only from your organisation’s memory. It promised nothing: no acceptance, no price, no collection day.
- Who offered it: the person’s name and how to reach them.
Only an operations supervisor or above sees who offered it and reads a call’s transcript.
A call’s recording
Section titled “A call’s recording”If the caller said yes to being recorded, the call shows Recorded because the caller said yes when the assistant asked. with a Play the recording button. Otherwise it reads No recording. The caller said no when the assistant asked, so only the transcript was kept.
Accept or decline a lead
Section titled “Accept or decline a lead”An operations supervisor or above decides a lead, under Will you take it?.
To accept:
- Click Accept lead.
- The confirmation says the company will be told nothing automatically, and accepting records that you will take this material.
- Click Accept lead to confirm, or Not yet.
To decline:
- Click Decline lead.
- Under Why you are declining it, choose one: We don’t take this material, Too little to be worth moving, No room or capacity by then, Too far to collect or to bring, or Already a lead.
- Click Decline lead to confirm, or Keep it open.
Either way, the company is not told. Reply to them yourself, for example to agree a collection day. Deciding the lead clears its Lead to review task, and the lead shows who decided it and when.
When a person is erased
Section titled “When a person is erased”If the person who offered the material is erased, their name, email address, phone number, the email and the call’s transcript and recording are deleted. The company, the material and what was decided stay on the lead.
